Tools for Distributed Teams

Here are the best tools for remote teams (that I personally recommend).

My criteria

  1. I’ve used each of these virtual team tools for at-least a year.
  2. I’ve navigated 100s of tools to finally settle on this stack.
  3. I’ve risked my reputation for them and recommended it to tons of other companies too.

XMind – Mind-mapping tool

Geckoboard – Business KPI dashboard

Woopra – User behaviour & analytics tool

Otter – For taking voice notes

Marketing channel-specific tools

ConvertKit – My preferred email marketing software

SEMrush – SEO analysis

Landingi – Landing page builder

Content upgrades – Email list building plug-in (only if your site is hosted on WordPress)

ImageOptim – reduce the size of your image without sacrificing quality. Ideal when you need high quality screenshots on a product page, but want to keep page speed fast.

Vervoe – GREAT candidate qualification tool

WeWorkRemotely – Job board where I’ve found the most remote candidates. Costs $250/job listing for 30 days (at the time of writing this)

Notion – Process documentation (free)

Monosnap / Loom – For recording videos

The Coaching Habit (book) – Great book to coach team members effectively.

Trello – Kanban project management (my fav project management style)

Asana – Kanban project management, with more advanced project management features.

Calendly – To schedule meetings remotely.

Zoom – For video meetings

Slack – Virtual team office – For timezone sync

Krisp – AMAZING tool to mute background noise during calls (example)

Moqups – Online mockup tool (using this tool for 4 years now)

Officevibe – for remote employee feedback (100% free to start) – for remote employee bonuses – for employee feedback, personal growth

PurelyHR – for managing time-off requests etc. – corporate cards for remote employees
